If you were working an eight hour work day, that would be just under two hours a day focused on your objectives. That may be on the lower end of what you

but it’s probably not too far off from the upper limit of sustainable focused work, so don’t be too hard on yourself.

In my experience, the

upper limit
</em>
on “deep work” towards my weekly objectives is something close to 6 hours a day. And that’s only when everything else in my life is humming along perfectly – no sick kids, getting good sleep, etc. For me and my colleagues, on days where we get hyper-focused on one task in a given day, I think it’s actually closer to 4.5 - 5.5 hours. Any more big brain work than that and I can’t even talk to other humans after I shut down work.

Regardless, it’s always worth considering how you can get in more quality time on your most important work. Here are a few things I do to support my deep work days:

I’ll often do one day a week (Wednesday) where I’ll invert my day and start the day focused on my big objectives instead of emails and small tasks. I usually get into a nice flow and end up cranking out 4-5 hours of focus. I usually try

to do this because there’s a risk of hyper-focus; I’ll just stop paying invoices and answering customers and colleagues. I can usually get away with one day mid-week of not answering emails in 24 hrs.

I’ll do one day a week where I have very few obligations outside of work as well. For example, on Thursday, I don’t work out and we go out to eat as a family. This means I can find an extra hour or so of work.

I swear I mention this in every Ask Ashutosh segment but I’ll do it again: I use “theme days” to give each day a focus and crucially I set up my themes so that certain types of lower value tasks are all done on the same day. I use the first two days of the week for my higher-volume, lower-importance tasks: e.g. Mondays are admin tasks and Tuesdays are bug fixes. This aligns well with the natural rhythm of my inbox too, there’s just more emails and random stuff on Monday and Tuesday than the rest of the week. Instead of fighting it, I just try and ride that wave.

Switching gears between little routine tasks just forces me to take more breaks. On Wednesday and Thursday when I do deep work, I might literally have just three tasks: Daily Inboxes (1 hr), Build Feature X (5 hr), Sunsama Shutdown (5 mins).

However, plans change, and I find myself regularly creating objectives on the fly mid-week. This happens when I realize a small task isn’t so small after all, and that it will involve a couple more tasks and/or multiple days to complete.

When it’s clear a “task” is actually more than a “task”, taking a moment to turn it into a weekly objective surprisingly doesn’t overwhelm me, but gives me a bit of peace of mind as I’m embracing the reality of the situation and not trying to cram a task into a schedule it won’t realistically fit into.
